How to create a social media content library
A social media content library is a bank of ready-to-use posts, graphics, headlines and prompts that you build once and pull from whenever you need to publish. Instead of starting from scratch every Monday morning, you open the library, pick an asset, adapt it and post. This guide covers what goes in a library and how to build one that actually saves you time.
What a content library is and why you need one
A content library is not a calendar. A calendar says what to post and when; a library holds the material you post with. It includes evergreen posts that stay relevant for months, graphics sized for each platform, testimonials you have permission to share, and seasonal or campaign content you can reuse year after year.
The value of a library compounds. Every time you create something good, it lives in the library rather than disappearing into a feed. Over six months you stop starting from scratch; you remix, refresh and post what is proven to work.
Step 1: Audit what you already have
Before creating anything new, look at your last three months of posts. Which ones earned engagement, saved comments, or led to enquiries? Screenshot them and save the copy. These are your strongest assets and the foundation of the library.
Most businesses find that fewer than twenty per cent of their posts did most of the work. The library is how you make that twenty per cent work harder.
Step 2: Gather evergreen material
Evergreen content does not go out of date. Common examples include:
- An explainer of what your business does (or what sets you apart)
- A summary of the main services you offer
- Frequently asked questions answered as standalone posts
- Customer testimonials and before-and-after results
- Behind-the-scenes photos of your team or workspace
- Tips or how-to advice relevant to your industry
Batch these into a single document or spreadsheet. Each item needs the copy, a suggested image or link, and a note of which platforms it fits.
Step 3: Organise by platform and theme
A library is only useful if you can find things. Create a simple structure with folders or tabs for each platform: LinkedIn, Instagram, Facebook, X, TikTok, Threads. Inside each, group posts by theme: sales, educational, social proof, behind the scenes, and seasonal.
Add a status column (ready to post, needs image, needs review) and a notes field for posting tips you learn as you go.
Step 4: Build a batch creation habit
The most efficient way to use a library is batch creation. Set aside two hours each month to create a month's worth of social assets at once. Pull from the library, refresh the evergreen pieces, create new ones for upcoming campaigns, and schedule everything in one sitting.
Batch creation cuts the per-post time from thirty minutes to about ten, and it frees you from the daily scramble for something to say.
Step 5: Keep the library alive
A library that never changes becomes stale. Review it quarterly: archive posts that no longer fit, add new testimonials as they come in, and retire seasonal content until it is relevant again. The library should grow as your business does.
Tools to use
A shared Google Drive folder with Docs and a Sheets index works perfectly for small teams. Notion is a stronger option for larger libraries with tags and search. For visuals, Canva folders let you save templates and branded graphics that can be resized for any platform without starting over.
